Duties include: Performing variety of routine & complex clerical, secretarial, & administrative work in keeping official records, providing administrative support to City Manager/City Clerk Department & HR Manager, & assisting in administration of standard operating policies & procedures of department; Responding to inquiries from staff & public in person, over the phone, & via email; Ordering supplies, scheduling meetings & facilities, & processing mail; Receiving & processing requests for documents; Creating, updating, & maintaining lists, charts, calendars, spreadsheets, forms, certificates, & related documents used to assist management; Assisting in & preparing job announcements & advertisements for positions; Preparing Council Chambers for City Council meetings; Duplicating agenda packets for City Council members, staff, press, & selected recipients; Attending City Council meetings as Deputy City Clerk for City, transcribing & dictating in open sessions; Potentially attending other committee meetings; Preparing & submitting to officials such reports as may be required or deemed advisable to submit; Managing social media & community outreach; Assisting in planning & coordination of City social events; Coordinating City sponsored employee recognition & self-improvement programs. Required qualifications: AA/AS & continuing college education in public administration, business administration or 3 yrs exp. in related field with increasingly responsible administrative & clerical exp. or any equivalent combination of education & exp. that would provide required knowledge, skills, & abilities; Knowledge of standard report preparation & research methods; Computer software MS Word, Excel, PowerPoint, Adobe Acrobat, & related programs; Ability to effectively meet & deal with public & provide excellent customer service; Ability to communicate effectively & professionally both verbally & in writing; Excellent time management skills & ability to handle stressful situations; Able to perform duties of emergency worker in event of natural or other disaster. Bilingual English/Spanish strongly preferred. 8:00am-5:00pm with 1-hr. lunch. Full-time, Temporary position. Wage: $17.00 hr. (#3.0414.110 – Lindsay)
