Needed in Lake Elsinore, CA. Duties include: Communicating with clients regarding billing & invoices for purchase orders, delivery dates, invoicing, & accounts payable; Researching, preparing, & reconciling Accounts Receivable & Accounts Payable functions; Conferring with customers by telephone, email, or in person to provide information about orders, updates, & other services provided; Receiving purchase orders from clients & entering orders; Communicating with client on cancelled orders, changes to orders, complaints, & billing/invoicing; Checking to ensure that appropriate changes were made to resolve customers' concerns or product delays proactively; Keeping records of customer interactions or transactions, recording details of inquiries, complaints, or comments, as well as actions taken; Supporting accounting & purchasing teams with inventory management & ad hoc projects; Performing administrative & clerical tasks including data entry, filing, & folders prep; Protecting company values by keeping information confidential; Monitoring, researching, & resolving account discrepancies with customers to ensure timely payments as per agreement & terms; Proactively following up on any past due payments, keeping accounts receivable past due accounts to minimum; Performing daily transactions, including preparing customer invoices, verifying, & processing payments received; Completing forms, preparing change of address records, & other data entry or required documentation using company software systems such as MRP, HASP (client systems); Updating spreadsheets such as company backlog of orders; Providing status reports to Accounting regarding orders & billing status; Matching & verifying bill with purchase order & receipt of materials for processing; Processing approved bill to correct general ledger & cost center in QuickBooks; Maintaining vendor accounts accuracy by reconciling monthly statements & related transactions; Responding to vendor’s inquiries; Performing all other duties as assigned. Required qualifications: High school diploma; 3 yrs work exp. in customer service, purchasing, or accounts receivable (in manufacturing environment preferred); 3 yrs exp. in office environment; Advanced skills/knowledge in MS Office (Word, Excel, Outlook) & QuickBooks Pro online; Knowledge of MRP, ERP or CRM systems, database user interface, & query software; Knowledge of administrative & office procedures & systems such as MS Office, managing files & records, designing forms, & workplace terminology; Willing to work as team; Strong customer service skills & ability to develop strong relationships; Knowledge of principles & processes for providing customer service (including meeting quality standards for services & evaluation of customer satisfaction); Knowledge of principles & processes for providing customer service (internal & external) including customer needs assessment, & meeting quality standards for services, actively looking for ways to help others; People skills to interact with customers & internal personnel; Excellent communication skills, including active listening, giving full attention to what other people are saying, taking time to understand points being made, asking questions, & not interrupting others; Ability to speak to others to convey information effectively; Strong multitasking ability; Meticulous & conscientious; Ability to read, sort, check, count, & verify numbers; Strong organizational, planning, & critical thinking skills; Knowledge of structure & content of English language including meaning & spelling of words, rules of composition, & grammar.
